What Is ISO 9001?

ISO 9001 is the international standard for quality management systems, published by the International Organization for Standardization. It sets out the requirements an organisation must meet to show that it consistently provides products and services that meet customer and regulatory requirements, and that it continually improves. It’s one of the most widely recognised business standards in the world. You can read more about the standard on the ISO website.

ISO 9001 doesn’t dictate exactly how a business should operate. Instead, it requires a structured approach: understanding customer needs, defining processes, measuring performance, managing risks and improving over time. Independent certification bodies audit organisations against the standard and issue certificates to those that meet it.

What ISO 9001 Means for Our Customers

For the retailers, hospitality operators, resellers and software houses we work with, our ISO 9001 certification translates into practical benefits:

  • Consistency – every order follows documented processes, from goods-in to dispatch.
  • Reliability – hardware is inspected, configured and tested before it leaves us.
  • Traceability – serial numbers and configurations are recorded for every device.
  • Accountability – clear responsibilities and procedures for handling issues.
  • Continuous improvement – feedback and performance data drive regular improvements.

In short, ISO 9001 helps make sure the hardware you receive is right first time, every time.

How ISO 9001 Shapes Our Daily Work

Quality management isn’t something that happens once a year during an audit. It’s built into the way our team works every day.

Goods-In Inspection

When stock arrives at our Leicester warehouse, it’s checked against purchase orders and inspected for damage. Any issues are recorded and resolved with the supplier before the hardware is made available for orders.

Configuration and Imaging

Our technicians follow documented procedures for loading software images, setting BIOS options, installing drivers and configuring peripherals. Checklists help ensure nothing is missed, even on large rollouts.

Testing

Every configured system is powered on and tested with its peripherals. Printers, scanners, cash drawers and displays are checked, and results are recorded before dispatch.

Asset Tagging and Records

Devices are labelled and their serial numbers recorded against each order, giving customers and partners a clear audit trail for warranty and support.

Packing and Dispatch

Hardware is packed to protect it in transit, labelled clearly and dispatched using reliable carriers. For multi-site rollouts, kits are packed per site to make installation simple.

Handling Feedback and Issues

When something does go wrong, ISO 9001 requires a structured response: record the issue, find the root cause, fix it and take action to prevent it happening again. This approach has helped us refine our processes year after year.

Why Quality Matters in EPOS

Point-of-sale hardware sits at the heart of every retail and hospitality business. When a till fails, sales stop. When a kitchen screen goes blank, orders are delayed. When a kiosk stops working, queues grow. That’s why quality matters so much in our industry, and why we have maintained ISO 9001 certification for more than two decades.

For resellers and software houses, quality is just as important. Every faulty unit that reaches a customer generates support calls and damages reputations. By preparing and testing hardware to consistent standards, we help our partners deliver reliable solutions and protect their own brands.

B-Spoke Systems ISO 9001 quality policy

The Journey to Two Decades of ISO 9001

Achieving ISO 9001 certification is a significant milestone for any business. Maintaining it for more than twenty years requires ongoing commitment from everyone involved. Over that time, B-Spoke Systems has grown from a small specialist supplier into the UK distributor for HiStone, with an 8,000 square foot facility in Leicester, a broad product range and a network of resellers and software houses across the UK and Ireland.

Throughout that growth, our quality management system has evolved with us. Processes that worked for a small team have been refined to support larger volumes, more complex configurations and multi-site rollouts. New products, such as self-service kiosks, kitchen display systems and Hisense commercial displays, have been brought into the same framework, so every category benefits from the same disciplined approach.

Audits and Continual Improvement

ISO 9001 certification is maintained through regular audits by an independent certification body. Auditors review our documentation, observe processes in action and speak to staff to confirm that the system is working as intended. Internal audits between external visits help us identify improvements before they become problems.

Continual improvement is a core principle of ISO 9001. We track measures such as order accuracy, delivery performance, configuration errors and customer feedback, and use them to decide where to focus improvement efforts. Small, steady improvements over many years add up to a significant difference in the reliability of the service we provide.

Our Quality Policy

Our quality policy sets out our commitment to understanding customer requirements, supplying reliable products, preparing them to consistent standards and improving continually. It applies to every member of the team, from sales and purchasing to the technical workshop and warehouse. Everyone plays a part in delivering quality, and everyone is encouraged to suggest improvements.

How ISO 9001 Supports Our Partners

For EPOS resellers and software houses, working with an ISO 9001 certified distributor reduces risk. Partners can rely on documented processes for imaging and configuration, consistent packaging and labelling, accurate records of serial numbers and a structured approach to handling faults. This is particularly valuable for large rollouts and tenders, where buyers often look for evidence of quality management throughout the supply chain.

Find out more about how we support trade partners on our trade EPOS hardware and HiStone reseller pages.

Quality You Can See

The best way to understand our approach to quality is to see it for yourself. Visitors to our Leicester showroom can often see how hardware is prepared in our technical workshop, as well as exploring the full range of HiStone EPOS hardware and Hisense displays on display. We’re proud of the processes behind every order and happy to show them to customers and partners.

Benefits of ISO 9001 for Any Business

Our experience shows that ISO 9001 delivers benefits well beyond the certificate itself. For any organisation considering certification, the main advantages include:

  • Clearer processes – everyone understands how work should be done and who is responsible.
  • Fewer errors – documented checks catch mistakes before they reach customers.
  • Better decisions – performance data shows where to focus improvement efforts.
  • Stronger customer confidence – certification demonstrates a commitment to quality.
  • Easier training – new team members learn from documented procedures.
  • Access to tenders – many public and private sector buyers require or prefer certified suppliers.
  • A culture of improvement – teams are encouraged to look for better ways of working.

ISO 9001 and the EPOS Supply Chain

Point-of-sale projects involve many parties: manufacturers, distributors, resellers, software houses, installers and end users. Quality at every step matters. When a distributor works to ISO 9001, the hardware entering the rest of the supply chain has been inspected, configured and tested to a consistent standard. That reduces the risk of faults appearing on site, where they’re most expensive and disruptive to fix.

For end users, the benefit is simple: equipment that works when it arrives and keeps working. For resellers and software houses, it means fewer support calls, faster installations and happier customers.

Looking Ahead

Reaching more than twenty years of ISO 9001 certification is a proud moment for the whole team, but it’s not the end of the journey. We’ll continue to invest in our processes, people and facility so that customers and partners can rely on us for many years to come. As the range of point-of-sale technology grows, from self-service kiosks to digital signage, our quality management system will continue to evolve to support it.

Thank you to our customers, partners and team members who have helped us maintain these standards over the years.

Quality in Practice: A Typical Order

To show how ISO 9001 works in day-to-day practice, here’s how a typical reseller order moves through our facility.

A reseller places an order for ten all-in-one terminals, ten receipt printers and ten cash drawers for a new restaurant group, with their own software image to be installed. The order is checked against stock and confirmed, and the reseller receives an expected dispatch date.

In the warehouse, the hardware is picked and checked against the order. In the technical workshop, technicians apply the agreed BIOS settings, load the reseller’s software image and connect each terminal to a printer and cash drawer for testing. Any issues are logged and resolved. Each terminal is then asset-tagged, and its serial number is recorded against the order and site.

The hardware is packed as ten site kits, each clearly labelled with the restaurant name and address, and dispatched to arrive in line with the reseller’s installation schedule. If the reseller later needs to raise a warranty claim, the serial number records make it quick to identify the device, its configuration and its history.

Every step follows documented procedures, and every step is recorded. That’s what ISO 9001 means in practice: a reliable, repeatable process that delivers the same high standard on every order, whether it’s a single terminal or a nationwide rollout.

Our People and Quality

Processes only work when people believe in them. Our team members receive training in our quality procedures when they join and on an ongoing basis as processes evolve. Everyone is encouraged to report problems and suggest improvements, and many of the refinements we have made over the years have come directly from colleagues in the warehouse and workshop who see the details every day.
